I JUST GOT ENGAGED! What order do I choose my wedding vendors?

You just got engaged! Congratulations!

Now what!??

So many couples ask us what order to pick their vendors?

Here is a general listing, of course if there is a specific vendor that you MUST have- move that one up in the list!

Most of all - enjoy this time! This is such an exciting time!

  • 1. VENUE

  • Why first? Your venue determines the date, style, vibe and logistical possibilities for the rest of the wedding. After you choose your venue everything else falls in to place!

  • Consider availability, capacity, and any in-house services (e.g., catering, decor, rentals).

  • Venues book up quickly - especially the most popular months (May, June, September & October)

  • Your venue most likely has a list of recommended vendors that previous couples have liked - we have a list we provide our couples! This helps make the process much easier!

  • 2. PLANNER/COORDINATOR

  • Why early? A planner can help you make decisions about other vendors, keep you organized, and potentially save money.

  • If you need help picking a venue or don’t know how to start move this one up to first!

  • They often have trusted vendor connections, which can simplify the rest of the process!

  • 3. PHOTOGRAPHER/VIDEOGRAPHER

  • Why now? Photographers and videographers book up quickly, often a year or more in advance.

  • Choose someone whose style aligns with your vision and who has experience with your type of venue. Do you want bright & airy, dark & moody? Vibrant and crisp? Look at photos on your venues instagram/website - if you see a style you like ask who the photographer was.

  • 4. CATERER (if not provided by venue)

  • Why next? Catering can be a large portion of your budget and influences your guest experience.

  • Do you want a full service meal served to table or a buffet? A more casual food truck. Does your venue limit who you can choose?

  • Book early if your venue doesn’t include catering services.

  • This is one area that can change your budget drastically - less guests to feed, lower budget!

  • 5. ENTERTAINMENT- DJ

  • Why now? Talented DJs and bands also book quickly, especially during peak wedding season.

  • Make sure their style fits the vibe you want for your reception.

  • Your DJ keeps your party going - ask for recommendations from your planner or venue if you need help finding one!

  • 6. OFFICIANT

  • Why now? If you're working with a professional officiant, religious leader, or someone requiring special training, they may have limited availability.

    For religious or cultural ceremonies, consult your officiant about requirements (e.g., counseling, specific traditions).

  • If a friend or family member is officiating, ensure they complete any necessary legal steps (e.g., ordination, permits).

  • 7. FLORIST

  • Why mid-process? Once you have your venue, theme, and general color scheme, a florist can help bring your vision to life.

  • Do you want real flowers or more budget friendly faux flowers. There are great faux flowers out there - or you can mix faux & real too!

  • 8. ATTIRE

  • Why mid-process? Wedding dresses often require several months for production and alterations.

  • Shop early to leave time for fittings and adjustments.

  • 9. HAIR & MAKEUP

  • Why now? Popular stylists often book well in advance, especially if your wedding is during a busy season.

  • Schedule a trial session before committing.

  • 10. DECOR & RENTALS (if not included by venue)

  • Why now? By this point, you'll know your guest count, layout, and style, making it easier to choose furniture, lighting, and other decor.

  • 11. CAKE & DESSERTS

  • Why now? While important, cakes and desserts don’t need as much lead time as other vendors.

  • Schedule tastings before making a final decision.

  • Do you want a traditional cake or something different - cupcakes, pies, ice cream…. the list goes on!

  • 12. STATIONERY

  • Why later? This depends on your timeline for sending invitations (usually 6-8 weeks before the wedding).

  • Order earlier if you want custom designs or extras like calligraphy.

  • 13. TRANSPORTATION

  • Why last? Once you know your schedule and guest count, book transportation if needed for the wedding party or guests. If your hotel provides transportation - make sure you book it when you book your rooms!
